This is used when Exchange Online automatically adds a signature to new mail but not replies or forwards.

Why can’t it add to replies?

As sophisticated as these systems are, the ability to add a signature populated with your information to the end of a mail is easy, but to determine where your reply starts and the original mail ends is easy for humans but not so for a program.

We fix this by adding a reply and forward signature to Outlook 2016 or Exchange online. Below are a few simple steps to do this.

Send Yourself an E-mail

Navigate to your Outlook Online and Sign In with your Work or School Account. Send yourself an e-mail with the Subject Signature and a message like Signature Details.

Check Your Signature

When your mail comes in, Check your Signature for any errors. If all is OK, Highlight your signature, Right Click, and select Copy.

Paste Signature

In the Signature Block, Paste your Signature in, making sure there is a line above (created by pressing Enter on your keyboard). Tick ONLY Automatically include my signature on messages I Forward or Reply To. Select Save.

Open Signature Settings

In the top right corner of your Outlook Online, click on the Settings Cog, Scroll Down and select Mail. Navigate to Mail > Layout > Email Signature.

Quick Tip!

Leaving Automatically include my signature on new messages I compose will result in duplicate signatures when you send New Mail. Signatures copied and pasted may look like code, to check, save your signature and open a new message examine the signature.

Send Yourself an E-mail

Launch Outlook 2016 for Windows. Open a New Mail and send yourself a Mail with Subject Signature and message Signature Details.

Open Signature Settings

When your mail comes in, Check your Signature for any errors. If all is OK, Highlight your signature, Right Click, and select Copy.

Open a New Mail then select the Signature Dropdown in the menu bar. Select Signatures… Create a New Signature called Reply Only.
Email Account: Your Email.
New Messages: (None)
Replies/Forward: Reply Only.

Paste Signature

In the Signature Block, Paste your Signature in, making sure there is a line above (created by pressing Enter on your keyboard). Select Save.
